Job Description

Job Summary and Purpose:

The Contract Specialist manages project financials, documents and other commercial materials for multimillion dollar contracts.  The Position requires the on time and accurate reporting of project status as to contract liabilities, profitability, cash management, submittals and other parameters deemed necessary to the Project. This position is located in Charlotte, NC.

Job Responsibilities:

  1. Assist with transfer of documents from Sales to Project Management
    • Identify gaps/ complete documentation
    • Create project binders
    • Gain a solid understanding of the company’s obligations and contract terms
  1. Maintain cost control systems/structure and issue reports for the following areas:
    • Purchasing of equipment supply contracts
    • Services contracts
    • Cash flow
  1. Submittals:
    • Ensure submittals are issued and maintained accurately and on a timely basis
    • Transmit engineering documents as required
  1. Invoicing:
    • Issue project invoices
    • Monitor the payment transfers and follow up on delinquent payments
    • Analyze the impact of delayed payments (interest loss, cash flow decrease, expected payment)
    • Collect and record contractor invoices
    • Monitor and compile labor hours
    • Assist the field services in the issuance of Purchase Orders
    • Ensure contractors are paid on time
  1. Purchasing: 
  2. Compliance with Company commercial acquisition standards
  3. Claim Management
    • Assist in the preparation of claims
    • Collect documentation and prepare justification
  1. Logistics
    • Monitor payment of taxes, duties and transfer costs
  1. Administration
    • Prepare meeting minutes for project meetings
    • Participate in phone calls
    • Other tasks as assigned by the Project Manager or Commercial Manager

 

Job Requirements

Requirements:

  • Associates degree in a related field
  • Highly self-motivated problem solver who takes initiative and maintains accountability for assigned projects.
  • A professional, thorough communicator with excellent organizational skills. Able to understand and document technical terms.
  • Sharp analytical eye with particular attention to detail.
  • Highly proficient in electronic technologies, with proven skills in Microsoft Office including Outlook, Word, Powerpoint, and Exel. MS Project experience is a plus.
  • A team player who recognizes the importance of maintaining positive and productive relationships with clients, suppliers, co-workers, and management.
